PZ processes personal data relating to individuals participating in public meetings, competitions, surveys or similar activities concerning sustainable transition.

Purpose and Legal Basis

The purpose of processing personal data is to identify and communicate with individuals participating in public meetings, competitions, surveys and similar activities concerning sustainable transition. Furthermore, the purpose of processing is to collect data for use in PZ’s activities.

The legal basis for this processing is the legitimate interests pursued by PZ pursuant to Article 6(1)(f) of the General Data Protection Regulation (GDPR).

Categories of Personal Data

Personal data is collected directly from you in connection with registration for or participation in public meetings, competitions, surveys and similar activities concerning sustainable transition.

The categories of personal data processed include:

  • Identification information (full name)
  • Contact information (address, telephone number and email address)
  • Information regarding energy consumption
  • Information regarding housing type and heating source in private residences
  • Information regarding means of transport (vehicle fuel types, electric bicycles and similar)
  • Information regarding dietary habits, recycling habits and transport habits

Deletion of Personal Data

Personal data will be deleted no later than the current calendar year plus five years after the individual’s participation in the public meeting, competition, survey or similar activity concerning sustainable transition. If the information has been collected in connection with an EU project and must be retained for a longer period following completion of the project, the project’s retention requirements will apply unless these are clearly contrary to applicable data protection legislation.

The information will be deleted when there is no longer a legal basis for processing and no later than the current calendar year plus five years from the date of collection.

Recipients of Personal Data

The information is shared, where necessary, with suppliers of information assets acting as data processors. Registration data relating to participation in public meetings, competitions, surveys or similar activities may also be shared with municipalities (primarily Sønderborg Municipality), EU institutions and other relevant partners.

Information Regarding Website Visitors and Newsletter Subscribers

PZ processes information relating to individuals visiting PZ’s website, Facebook and LinkedIn pages, as well as individuals subscribing to newsletters and participating in competitions.

Purpose and Legal Basis

The purpose of processing personal data is to improve the user experience when visiting PZ’s website, Facebook and LinkedIn pages. In addition, the information is collected for statistical purposes and for the further development of the website. The purpose of processing personal data relating to newsletter subscribers is to distribute relevant newsletters.

The legal basis for processing personal data relating to website visitors is the legitimate interests pursued by PZ pursuant to Article 6(1)(f) of the GDPR, while the legal basis for processing personal data relating to newsletter subscribers is consent pursuant to Article 6(1)(a) of the GDPR. Right to Withdraw Consent

You may withdraw your consent at any time. You can do so by using the unsubscribe link included in newsletters or by contacting PZ using the contact information provided above.

Deletion of Personal Data

Information regarding website visitors is deleted no later than two years after logging in to the website. Information regarding newsletter subscribers is automatically deleted after two years or when the legal basis for processing ceases to exist, which will typically occur if consent to receive newsletters is withdrawn. Consent records are, however, retained for documentation purposes in order to demonstrate that valid consent was obtained.

Recipients of Personal Data

Information regarding website visitors and newsletter subscribers is shared only with the website provider and hosting provider.

Transfers to Third Countries

Personal data is not shared with recipients outside the EU. However, PZ uses Microsoft 365, which is to some extent hosted in the United Kingdom.

Under applicable data protection legislation, you have a number of rights regarding our processing of your personal data.

Right of Access (Article 15)

You have the right to obtain access to the personal data we process about you, as well as additional information regarding such processing.

In certain circumstances, you have the right to have personal data concerning you erased before the expiry of our general retention periods.

Right to Restriction of Processing (Article 18)

In certain circumstances, you have the right to obtain restriction of processing of your personal data. Where processing has been restricted, we may thereafter only process the data — apart from storage — in specific situations.
